Introduction & Company Overview

Techmuo Solutions is a USA-based, fully remote digital agency headquartered at 60 East 65th Street, New York City. We specialize in Custom Web Design, eCommerce Development, SEO & Digital Marketing, and QA Automation Testing — serving clients across the United States and internationally.

This Remote Workplace Policy outlines the expectations, guidelines, and responsibilities for all Techmuo employees, contractors, and consultants. It is designed to ensure productivity, collaboration, security, and work-life balance in a remote-first environment.

Scope & Applicability

This policy applies to all individuals working with or for Techmuo:

  • →  All full-time and part-time employees
  • →  Contractors and freelancers engaged by Techmuo
  • →  Interns and temporary staff
  • →  Any individual accessing Techmuo systems or representing the company remotely

Remote Work Eligibility & Setup

3.1 Equipment & Workspace

All team members are responsible for maintaining a professional, functional remote workspace. Requirements include:

  • →  A reliable computer (minimum 8GB RAM, updated operating system)
  • →  Stable high-speed internet connection (minimum 25 Mbps download speed)
  • →  A quiet, distraction-free workspace during working hours
  • →  A webcam and headset/microphone for video meetings

💼 Techmuo may provide equipment stipends to full-time employees upon management approval. Any company-provided equipment remains the property of Techmuo Solutions and must be returned upon separation.

3.2 Internet & Connectivity

Employees must ensure consistent internet access. If connectivity issues affect your ability to work, notify your manager immediately and document the downtime. Persistent issues may require arranging an alternative connection such as a co-working space or mobile hotspot.

Working Hours & Availability

4.1 Core Hours

Techmuo operates primarily on Eastern Time (ET). All employees must be available during core hours:

4.2 Flexible Hours

Techmuo values flexibility. Team members may adjust their schedules with prior manager approval, provided they meet deadlines, attend required meetings, and remain reachable during core hours. Flexible arrangements must be agreed in writing via email or Slack.

4.3 Time Tracking

All employees and contractors must accurately log working hours using the company-designated time tracking tool. Timesheets must be submitted weekly by end of business Friday. Falsification of time records is grounds for immediate termination.

Communication & Collaboration

5.1 Official Communication Tools

  • →  Slack — day-to-day team communication and quick updates
  • →  Email (techmuo.com domain) — formal and client communication
  • →  Zoom / Google Meet — video meetings, client calls, and team standups
  • →  Project Management Tool (Asana / Trello / Jira) — task tracking and deliverables

All work-related communication must occur on official Techmuo channels. Personal messaging apps should not be used for business communication unless explicitly authorized.

5.2 Response Time Expectations

  • →  Slack messages: respond within 2 hours during core hours
  • →  Emails: respond within 24 hours on business days
  • →  Meeting invitations: confirm or decline within 4 hours
  • →  Urgent client escalations: respond within 1 hour

5.3 Meetings

  • →  Attend all scheduled team standups and project meetings on time
  • →  Keep camera ON during client calls and team meetings
  • →  Test audio and video before joining calls
  • →  Use a professional virtual background if the physical space is not suitable

Performance & Productivity

6.1 Deliverables & Deadlines

Employees are evaluated on the quality and timeliness of their work, not just hours logged. Every team member is responsible for:

  • →  Meeting agreed project deadlines without prompting
  • →  Proactively communicating blockers or delays at least 24 hours in advance
  • →  Participating in weekly check-ins with their direct manager
  • →  Completing assigned tasks as documented in the project management system

6.2 Performance Reviews

Performance reviews are conducted quarterly, assessing output quality, client satisfaction, communication, teamwork, and policy adherence. Underperformance may result in a Performance Improvement Plan (PIP) before any disciplinary action.

Data Security & Confidentiality

7.1 Device & Network Security

Protecting client and company data is a top priority. All remote employees must:

  • →  Use a password-protected device with full-disk encryption enabled
  • →  Use a company VPN when accessing systems on public or shared networks
  • →  Enable two-factor authentication (2FA) on all company accounts
  • →  Never store client data on personal devices or unauthorized cloud services
  • →  Install and maintain updated antivirus/anti-malware software

7.2 Confidentiality

All employees must sign and adhere to Techmuo’s Non-Disclosure Agreement (NDA). Confidential information includes client data, project details, pricing, source code, and proprietary processes. Breach of confidentiality will result in immediate termination and may be subject to legal action.

7.3 Incident Reporting

🔒 Any suspected data breach, loss of company device, or security incident must be reported immediately to management via Slack or contact@techmuo.com. Do not attempt to resolve security incidents independently.

Leave & Time Off Policy

8.1 Paid Time Off (PTO)

Full-time employees are entitled to paid time off per their employment contract. All PTO requests must be submitted at least 5 business days in advance. Emergency leave should be communicated as soon as possible.

8.2 Public Holidays

Techmuo observes all US federal public holidays. Employees based in other countries observe their local public holidays as agreed in their individual contracts.

8.3 Sick Leave

Notify your manager before or at the start of your shift if you are unable to work due to illness. Sick leave should not be used for non-medical personal time.

8.4 Unauthorized Absence

Failure to report or communicate absence without approval is considered unauthorized absence and may lead to disciplinary action, including loss of pay for missed days.

Professional Conduct & Ethics

All Techmuo employees are expected to:

  • →  Treat colleagues, clients, and partners with respect and professionalism at all times
  • →  Maintain a professional appearance and environment during video calls
  • →  Refrain from discriminatory, harassing, or offensive behavior on any channel
  • →  Represent Techmuo positively on social media and public platforms
  • →  Not engage in competing business activities without written consent from management

Violations of the code of conduct may result in disciplinary action up to and including termination.

Expense Reimbursement

Techmuo may reimburse pre-approved remote work expenses such as:

  • →  Internet connectivity upgrades (partial, up to $50/month for full-time staff)
  • →  Co-working space fees when required for a project (pre-approved)
  • →  Software or tools required for work (must be pre-approved in writing)

All expense claims must be submitted with receipts within 30 days of the expense. Unapproved expenses will not be reimbursed.

Intellectual Property

📌 All work, code, designs, content, strategies, and deliverables created by employees or contractors during their engagement with Techmuo are the exclusive intellectual property of Techmuo Solutions — including work created on personal devices or outside of normal working hours if related to Techmuo projects or clients.

Policy Updates & Acknowledgment

This policy may be updated periodically. Employees will be notified of significant changes via email. Continued employment constitutes acceptance of updated policies.

All employees are required to sign an acknowledgment confirming they have read, understood, and agree to comply with this Remote Workplace Policy.
